ENVIRONMENT:
A fast-paced global Digital Business Consultancy seeks an ambitious and solutions-driven for an exciting opportunity to join its Munich team in Germany. The role will be hybrid, working both onsite and remote. Your core role will be to develop project plans and manage them through to completion as well as identify issues and problems, generating solutions and help choose appropriate alternatives. By assessing requirements and changes, you will manage project scope and determine and convey impact on budget, time and risk. The ideal candidate must have strong communication and confidence in facilitating meetings and briefs with all stakeholders, serving as a role model in promoting good working relationships across a project. You will also require a Bachelor’s Degree or equivalent in a related field, 2-5 year’s Project Management with proficiency in PM Methodologies and tools such as Accelo, TeamGantt, Monday.com and Google Docs, Google Sheets and Google Mail.
You will need to be based in Munich, Germany or have an EU passport and be willing to move there.
 
DUTIES:
Project Scheduling | Budget Planning –
  • Responsible for using best practice methodology to create a project plan to fit the stakeholders/customers’ needs and deliver with-in budget on desired outcomes.
  • Work with the Resource Managers to predict resources needed to reach objectives in an effective and efficient manner.
  • Prepare the budget based on scope of work and resource requirements and ensure the project keeps to the budget (isn’t over or under serviced).
  • Manage the budget for third party suppliers where needed.
  • Be accountable for creating the project plan utilising Project Management software.
  • Facilitate project stakeholder meetings and brief Resource Managers of project timelines and milestones.
  • Resolve a situation where the project is over budget, working with the Key Account Manager to motivate for more budget if possible.
 
Project Tracking | Reporting | Administration –
  • Responsible for the completion, distribution and storage of all project documentation which includes but is not limited to the Account Initiation Document, Client Contact Reports, Risk Register, Changes Log, Recons and Lessons Learnt.
  • Ensure all briefs are prepared in time and resolve situations where briefs are unclear or incomplete.
  • Prepare and maintain clear and concise progress reporting with a view to discovering potential problems before they occur.
  • Apply a proactive approach in routinely tracking the project members’ progress against their project commitments.
  • Track and report on the status of a project. Ensuring the project is on track, in scope and in line with clients goals and the client contract.
 
Project Communication | Project Timeliness | Client Satisfaction –
  • Responsible for driving efficient project meetings following the SPAT Method.
  • Strive to recognize and communicate when problems surface or potential problems are looming.
  • Articulate problems, bring the right people together to solve problems and know when the problem has been properly addressed and closed—all this with the proper sense of urgency that the problem requires.
  • Provide project updates on a consistent basis to various stakeholders about strategy, adjustments, and progress.
  • Communication of deadlines to all project stakeholders including the internal team and Client Stakeholders.
  • Monitor communications and ensure that all client communication is being responded to and dealt with.
  • Monitor progress and make adjustments as needed.
  • Resolve any project roadblocks whether internal or from client side i.e., lack of login details, missing guidelines, etc.
  • Measure project performance to identify areas for improvement.
  • Communicate and mitigate project risks.
  • Work with the Resource Managers to ensure deliverables are delivered on time.
  • Communicate project dependencies.
 
REQUIREMENTS:
Qualifications –
  • A Bachelor’s Degree or equivalent in a related field.
 
Experience/Skills –
  • A minimum of 2-5 years’ experience in Project Management.
  • Be proficient in Project Management Methodologies, preferably with formal training.
  • Have experience in a Consultancy, Agency or Software development organisation.
  • Proven ability to complete projects according to outlined scope, budget, and timeline.
  • Have experience with Project Management Software such as Accelo, TeamGantt, Monday.com.
  • Be proficient in Google applications including Google Docs, Google Sheets and Google Mail.
